1. How does Extranet User Manager manage user and group membership?

Both Extranet User Manager and the EUM Team advocate for managing users at a group level. The reason why we like to stay away from individual user based permissions is because if a user leaves their role at an organization, you may not be aware of the individual permissions they were assigned. Having groups associated to their specific role is much simpler, the replacement user can then simply be added to the existing group as the other is removed, and they will then instantly have the required access to the assets they need.

2. I need business users that are not technically inclined to manage external user access, how does Extranet User Manager support this?

The concept of delegation is a key piece of Extranet User Manager. Often the Information Technology (IT) department of your organization is tied up managing internal users and aren't aware of what external users need access to. This is twofold, your IT is unaware of the correct access to provide which in turn leaves your external users waiting to be on boarded​.

Extranet User Manager combats this disconnect by offering a tiered permissions model. There are 3 different types of elevated permissions a user can have which would enable them to manage external user access. Those 3 types of users are:

  • Configuration Editor
    • Can manage all groups and users as well as configure the Extranet User Manager settings
    • Often an internal IT individual who is responsible for installing and maintaining the EUM application, as well as the applications EUM is authenticating to
  • Group Editor
    • Has access to all groups and all users and can manage their access accordingly
    • This individual typically acts as a user admin
    • They are often an internal individual who could be a business user that understands where those external users need access to
    • For example, a Vender Relationship Manager
  • Group Owner
    • Can manage users within the group that they are the owner of
    • They can also add net new users to the group
    • They cannot add additional groups
    • This individual could still be an internal business user
    • Or in certain instances, they could be from one of your external partner organizations

3. How does Extranet User Manager work with Office 365/SharePoint Online?

Extranet User Manager is a solution that is focused on providing external users a seamless end user experience when being on boarded and authenticated to an Extranet, regardless of where that extranet resides. In the Office 365 space, Extranet User Manager paired with Azure Active Directory Business to Business (AAD B2B) make a great couple. Azure B2B provides the Microsoft backed secure authentication and Extranet User Manager provides simplified account management, a customizable self-registration experience and fully supports a model of delegating external user access to the actual business owner, versus having it sit in IT’s queue. 4. ​Does Extranet User Manager support SharePoint On-Premises?

Extranet User Manager supports SharePoint 2010, 2013, and 2016. EUM acts as an identity provider to provide authentication for the external users. EUM handles the entire onboarding cycle allowing users to self register, receive the approved account with an expiring one-time use token, which allows them to set their password based on the complexity outlined at their resource organization. SharePoint is set up as a relying party that trusts EUM to provide the authentication for those external users.

5. ​How does Extranet User Manager handle forgotten passwords?

Extranet User Manager fully supports a self service automated password reset for external users. When an external user realizes they have forgotten their password and are therefore unable to login, they can hit the 'Forgot Password' on the Login form. They will be redirected to a page that will prompt them to input the email of their existing EUM account. An automated email will then be sent to the user containing an expiring one-time use token that will allow them to reset their password. When clicking the link, the user will be redirected to the 'Set Password' page and they will then be able to successfully set their password if it meets the complexity outlined at the resource organization.

6. ​How many users can Extranet User Manager provide authentication for?

Extranet User Manager is not a per user based license, so we are not concerned with the number of users that will be logging in through EUM. We are concerned with the number of CLAIMS aware applications EUM will be providing authentication to. This will determine if you require a Standard or Enterprise license of EUM. There are existing clients utilizing EUM to provide a 'hand holding' onboarding experience for as little as 25 users, however we have other clients who are providing external access to over 75,000 external users.

7. ​Can I evaluate Extranet User Manager before committing to purchasing the full license?

Yes, we have a couple options to pursue and depending on the EUM install you're looking to deploy at your organization, this will determine the best route for you. The first option is an On-Premise install that your team performs. There is a 15-day temporary license within the release folder along with all the required documentation to install EUM.

Another option that we have is a Premium EUM Trial Install. There is a $500 fee associated with this offer, however that cost would be rebated against the license price pending you choose to move forward with a full license purchase within 45 days of the trial. More information is available on our Premium Trial install on our EUM Support Services page. This offer includes an extended 30-day evaluation period, 4 hours of hands on support from a dedicated EUM Technical Staff member with a full remote installation into a testing server with additional telephone, web, and email support supplied.

The last option and the simplest to get going is a Hosted Trial of EUM. We will provision the trial for you and run a script to set up the trust between the hosted EUM server and your SharePoint farm. To have a trial provisioned, you must fill in the EUM Trial Request Form to let us know you're ready to evaluate.

8. What is your pricing model for an Extranet User Manager License?

Extranet User Manager (EUM) is not a per user based license. There are two tiers of EUM licenses, Standard version and Enterprise version. The difference between the two tiers are how many applications is EUM authenticating to. A Standard version allows EUM to authenticate to 1 claims aware application. An Enterprise edition allows EUM to authenticate to an unlimited number of claims aware applications.

Within the two tiers of license, there is an On-Premise option or a Hosted option. The On-Premise is a 1-time license fee with a 20% of the license cost Software Assurance fee, which is billed annually. The Hosted Option is a monthly payment that includes Software Assurance. This is billed on an annual basis.

9. ​Are there any discounted pricing options for the purchase of Extranet User Manager?

We do offer a 10% discount to Not-For-Profit and Government organizations. This 10% discount applies to the license cost as well as a first year Software Assurance. Upon your SA renewal, you will then be invoiced for the standard 20% of your license costs.

10. What is Software Assurance (SA) and why should I pay this?

Software Assurance (SA) gives you the ability to have development and test installations of EUM. This will allow you to apply customizations and upgrades to your EUM build without impacting your Production installation. Additionally, Software Assurance gives you the right to the latest releases of EUM. We are constantly integrating new features and capabilities into the core product and we like to make it available to not only new customers, but also our existing customers. A first year Software Assurance is required with the purchase of an EUM license.

11. I would like to upgrade my current version of Extranet User Manager, what are the steps I need to take to achieve this?

We are constantly making feature upgrades to our EUM solution and we like to make those features available to all our existing customers, which is why we fully support a migration path to the latest releases. Those steps to successfully migrate include:

  1. Validate that your Software Assurance (SA) is current as SA is what entitles you to download the latest release of EUM
    1. If your SA is not current and you would like to upgrade, please Contact Us and we will be able to provide you assistance with getting your SA current
  2. Pending your SA is current, progress to the Extranet User Manager Website specifically under Releases
    1. This is where all the latest releases of Extranet User Manager are posted
    2. To download a release, you will have to be an authenticated user on the EUM Website
    3. To do this, click 'Sign In' at the top right, and either sign yourself in with an existing EUM account or register yourself on the site
    4. Once you have successfully logged in to the EUM site you can download the .zip Release package
  3. You will then have to follow the 'Upgrade Guide' included in the .zip folder, which will explain how to apply the latest release to your existing EUM install
    1. Please do not hesitate to consult with us surrounding your upgrade as we are always happy to provide guidance
    2. Depending on the complexity of your customizations, ensuring they are reapplied to the latest release may involve some additional support

12. We are looking for some Premium Technical Support with our Extranet User Manager implementation, what options do we have for support?

We make 2 options available to customers with regards to Premium Technical Support. We have Bulk support hours which are available in 10, 15, or 20-hour increments. These Bulk Support Buckets are discounted at a 10% rate over our standard Time and Materials rates, and they are valid 1 year from the time of purchase. Please find the rates of these buckets at the bottom of out Pricing page.

Another option is to pick a Support Budget cap and we will create an ongoing project for you that allows us to invoice the support as it is consumed. There is no expiry on this type of support, if the budget cap is reached, we will simply reach out and let you determine whether you would like to add to your support budget or if your required support is coming to an end.
