Here at Extranet User Manager, we always recommend managing users within groups and not the other way around. The reason being, if you are assigning permissions at the individual user level and there is a change in their role at the organization, you then have to individually re-assign those permissions to their replacement. And in some instances there could be a lapse in time from when the replacement user joins the organization. For this purpose, managing users within Groups allows you to assign the permissions to a role and then simply add and remove users from the Group as required. Extranet User Manager even enables you to nest Groups within other Groups so you can get very granular with your group management.

Public Groups

In order to build a digital community and drive adoption of it, external users in some cases need to be able to self discover groups that exist within your portal. This is the reason why EUM supports Public Groups. By making a group public, users can self register and then enroll in the group. Conversely, if they already exist within the system, then they will simply submit a membership request to join the group.

You as the administrator can then determine if there is an approval step required for those users to join the group. In the instance there is, that does not have to be you as the IT administrator! You can delegate this approval step to an individual whether they be internal or external who owns the relationship with the external user.

Below you will see there are two options to choose from: Public Group with No Approval and Public Group with Approval. We would advise for this live demo that you choose the No Approval option so you can immediately experience how one of our groups works. By clicking the below Public Group No Approval, the following process will ensue:

  • You will be directed to a page that provides more details about why you would want to join the group
  • All group names, summaries, and descriptions are customizable so you can update the information to entice your user to join
  • Click Join Group which will redirect you to EUM to input your email
  • You will then return back to EUM Landing and receive a success message that you have joined the role
  • You can then click the role and land within SharePoint Online on the site you requested access to

Private Groups

EUM Private groups are exclusive groups that can only be viewed and joined through a private registration link that includes a unique role GUID. Private Groups are fantastic for onboarding scenarios where your organization may not know everyone at the external organization who needs access. EUM generates a single link that an admin can share out via email which can then be dispersed through the external organization. All users who require access self register themselves using the link. Pending whether or not you would like to have an approval for the members, the user may gain access immediately or have to wait for an administrator to approve their membership request.
